Once you have added a new company car, you may allocate it (as required).
By default, only the active company cars are displayed.
They are classified according to their use:
•Individual use
•Collective use
•Utility use
•Not in use
Company cars that have been stopped (inactive), can be found using the filter Active company cars:
oAll company cars
oActive company cars
oInactive company cars
Individual use
For individual use, the company car is allocated to a single employee.
Note!
•You may allocate a company car individually only in a year that is not closed for tax purposes. Contact your payroll officer to make adjustments in the active pay years (these are the last three years). •If an employee is also allowed to use the company car for private purposes, you must enter the car before sending the salaries. You must also report any changes as soon as possible. All of this may affect the net pay and the NSSO may impose fines for incorrect data or late notifications. •If you have sent the salaries for calculation correctly, you cannot select the employee. The company car is new or not in use
1.Go to Company cars. 2.In the overview of company cars under Not in use, select the company car that you wish to allocate individually.
If the company car is not in the overview, add the company car first. 3.Click on Change. 4.Go to Use and select Individual use in the field nameType. 5.Enter a start date.
This can be any day of the month. 6.Select the correct employee and the appropriate benefit. 7.Click on Save. |
The company car is already being used individually, collectively or as a utility
1.Go to Company cars. 2.Select the company car that you wish to allocate individually to an employee. 3.Click on Change. 4.For the current use, enter a car return date to close the previous period of individual, collective or utilitarian use. 5.Click New Period to add a new period. 6.Select Individual use in the field name Type. 7.Enter a start date.
This can be any day of the month. 8.Select the correct employee and the appropriate benefit. 9.Click on Save. |
More information about the field name Personal contribution per month
This is the employee's personal contribution for a full month. This contribution is automatically converted into a pro-rata amount at the time of calculation. In doing so, we take into account the vehicle's starting and return dates, the dates of commencing and leaving employment, and any split payment period.
When the personal contribution for an employee changes, you create a new period with the correct monthly contribution for that specific allocation period.
Example: the company car is in principle without a personal contribution, but during a suspension the employee must still pay a personal contribution.
The personal contribution recorded here will be deducted from the net payy and the company car benefit-in-kind.
Note!
Not all types may be deducted from the benefit-in-kind. You may therefore register only certain types of personal contribution in this section. View here which of the employee's contributions may or may not be deducted from benefit-in-kind.
Temporary personal contribution when adapting employment
If the employment of an employee changes for a certain period (e.g. in the event of a suspension), you can also temporarily change the personal contribution for the company car.
1.Go to Company cars. 2.Select the company car of the employee whose employment and personal contribution need to be temporarily adjusted. 3.Click on Change. 4.End the current period of individual use. You do this by entering a car return date that is equal to the start day of the adjusted employment. 5.Click on New period to enter a new individual use with adjusted personal contribution 6.In the Type field name, change to Individual use. 7.Enter the end date of the adjusted employment as the return date. 8.Select the correct employee and the benefit again. 9.Enter the temporary personal contribution per month. 10.Click on Save. Note: Adjust the personal contribution again when the adjustment of employment ends.

Collective use
In the case of collective use, the company car may be used by various employees. In Company cars, the company car is not allocated to this/these employee(s). The various employee(s) do not have a benefit-in-kind for a company car.
Example: a delivery van.
The company car is new or not in use
1.Go to Company cars. 2.In the overview of company cars under Not in use, select the company car you wish to allocate collectively to several employees.
If the company car is not in the overview, add the company car first. 3.Click on Change. 4.Select Collective use in the field name Type. 5.Enter a start date.
This can be any day of the month. 6.Click on Save. |
The company car is already in individual or utility use
1.Go to Company cars. 2.Select the company car that you wish to allocate collectively to several employees. 3.Click on Change. 4.For the current use, enter a car return date to close the previous period of individual or utility use. 5.Click New Period to add a new period. 6.Select Collective use in the field name Type. 7.Enter a start date.
This can be any day of the month. 8.Click on Save. |

Utility use
In the case of utility use, the company car may be used for commuting and business travel purposes, but use for purely private purposes is excluded. Only commercial vehicles are eligible. A benefit-in-kind for a company car is due, but no CO2 solidarity contribution.
