Structure and the layout of the sections in a new report |
|
|
|
You can specify the structure and layout of a report entirely yourself. You can change:
•the order of sequence of the sections,
•the description,
•the column width,
•the sorting,
•the grouping,
•the totals and
•the result field .
You can also remove sections/columns.
Note: You cannot change the heading of the report.
The heading always contains the name and address of the dossier, the dossier number, the name of the report, the period for which the report was requested and the day when the report was run.
Each column has a sequence number. The sequence number determines the order in which the columns are shown in the report.
You can always change the order of sequence of the columns. To do this, use the number in the field Sequence no..
When changing the order of sequence of the columns, the other sequence numbers will be adjusted automatically.
Click on Save if you want to sort the columns on your screen by the sequence number.
Note: A new column will be added at the end and is given the highest sequence number.
The field Description specifies the title of the column in the report.
This field will be automatically filled up with the standard description of the section.
You can change the description. The new description may be no more than 60 characters long.
When adding a column to a report, Payroll proposes a column width.
The column width is expressed in cm. The standard column width is 2 cm for a datum or a numeric field, and 4 cm for an alphanumeric field.
This column width can be modified.
IMPORTANT! You cannot modify the column width of a field if you want to group in the field.
Below the column Column width the total width of your columns is shown (in cm).
< = 18 cm |
The report is shown in Portrait format. |
> 18 cm and < = 26 cm |
The report is shown in Landscape format. |
> 26 cm |
The report is shown in Landscape format. If in the field Export to you have opted for PDF file, you will see an extra field Adjust to paper format. |
The sorting is not obligatory for all columns. But there must be at least one sorting in each report.
You can use a maximum of 9 sortings in a report.
IMPORTANT: A grouping takes precedence over the sorting. This means that the sorting of a report is automatically adjusted if a grouping is added.
Example: A report without grouping is sorted by Surname (1 A>Z) and First Name (2 A>Z). When a grouping by age is added, the grouping will be given the numbering Age (1 A>Z) and the sorting Surname (2 A>Z) and First Name (3 A>Z).
You are not obliged to group one or more columns.
If you group a column, you can no longer:
•change its width,
•sort,
•make totals or subtotals,
•show the field as adjusted.
If you want to make a subtotal in one or more columns, there must be a grouping in at least one column in the report.
You are not obliged to make a subtotal if there is a grouping in the report.
You can always make totals for a column, even if there is no grouping in the report.
Note: If you make a total, you must enter a unit for the result field in the field as.
You cannot make a subtotal or total for the column you are grouping.
The result field the field as can only be used if you request a Total or Subtotal for the column.
If the section is a numeric field, a choice can be made in the field as from Average, Number or Sum as the unit of the result.
If the section is an alphanumeric field, you can select, in the field as only Number as the unit of the result.
Click at the end on
if you wish to remove a column.
